NEXT MOVE COACHING – PRIVACY NOTICE

This Privacy Notice explains how I collect, use, store and protect your personal information when you contact me about coaching or work with me through Next Move Coaching. I process your personal information in accordance with UK data protection law, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

I am Dr Philip Fine, trading as Next Move Coaching. I am the data controller responsible for your personal information.

WHAT INFORMATION I COLLECT

I may collect:

• your name and contact details;

• information you provide when enquiring about coaching;

• appointment information;

• coaching notes;

• correspondence relating to our coaching;

• invoice and payment records.

During coaching you may choose to share personal information of a sensitive nature. I will only record information that is relevant to our coaching work.

WHY I COLLECT IT

I use this information to:

• respond to enquiries about coaching;

• provide coaching;

• arrange and administer coaching sessions;

• maintain appropriate coaching records;

• meet professional, legal and insurance obligations;

• maintain coaching records for professional credentialling where you have given your consent.

MY LAWFUL BASIS FOR USING YOUR INFORMATION

I process information needed to provide and administer coaching because it is necessary for our contract, or to take steps at your request before entering into a contract.

I process information where necessary to meet legal obligations, for example financial and tax records.

Where I ask for your consent for a specific purpose, such as maintaining identifiable records for professional credentialling, you may withdraw that consent at any time.

I may also process limited information where this is necessary for my legitimate interests in running a safe and professional coaching practice, provided your rights do not override those interests.

SHARING YOUR INFORMATION

I use trusted service providers where necessary to operate my practice, for example providers of email, video calling, cloud storage and business administration. They process information only for the services they provide to me and subject to appropriate data-protection arrangements.

Your information will not normally be shared with anyone else. It may be shared where:

• you ask me to do so;

• I am required by law;

• there is a serious risk of harm;

• it is required for professional supervision or credentialling, in accordance with the Coaching Agreement.

HOW YOUR INFORMATION IS STORED

Electronic information is stored using password-protected systems.

Paper notes are kept securely.

I retain personal information only for as long as is reasonably necessary for the purpose for which it is held and to meet relevant professional, legal and insurance requirements. It is securely destroyed when it is no longer required.

YOUR RIGHTS

Under UK data protection law, depending on the circumstances, you may have the right to:

• request access to your personal information;

• request correction of inaccurate information;

• request deletion of your information where appropriate;

• request restriction of certain processing;

• request transfer of your information where the right to data portability applies;

• withdraw consent at any time where I rely on your consent.

You also have the right to object to certain uses of your personal information, including processing based on legitimate interests.

You have the right to complain to the Information Commissioner’s Office (ICO) if you believe your personal information has not been handled appropriately.
